Referencing & Approval
Before a tenancy is offered, we conduct credit, employer, landlord, and bank references through a professional agency. Tenancy offers are subject to satisfactory references, which will be shared with the landlord.
Before you move in
1. Holding Deposit
Equivalent to one week’s rent to reserve a property. This may be forfeited if you withdraw, fail a Right-to-Rent check, provide false information, or do not sign the Tenancy Agreement within 15 days (or an agreed deadline).
2. Rent in Advance
Typically, one month’s rent is required before the tenancy starts.
3. Security Deposit
- Rent under £50,000 per year: Five weeks’ rent
- Rent over £50,000 per year: Six weeks’ rent
- Deposits are registered with a Custodial Deposit Scheme, ensuring no deductions are made without mutual agreement or an official ruling.
4. Proof of Identity
- All tenants must provide original photo ID (passport or driving licence).
- Foreign nationals must provide proof of legal residency (e.g. visa or residence permit).
- Proof of address (utility bill or council tax bill from the last 3 months) is required.
- Companies must provide proof of directorship or authorization to sign.
Stamp Duty Land Tax (SDLT)
Tenancies exceeding £125,000 in rent may be liable for SDLT.

During Your Tenancy – Additional Charges
Unpaid Rent
3% above the Bank of England base rate after 14 days of arrears.
Lost Keys/Security Devices
Tenants must cover the cost of replacements, including locksmith fees if locks need changing. Additional charges apply at £15 per hour (inc. VAT) if extra time is required.
Cleaning
The property must be professionally cleaned to the standard recorded in the inventory and check-in report.
Contract & Tenancy Changes
Variation of Contract
£50 (inc. VAT) per agreed change. Covers landlord approval and legal document updates.
Change of Sharer
£50 (inc. VAT) per replacement tenant, covering referencing, Right-to-Rent checks, and deposit registration.
Early Termination
Tenants must cover the landlord’s re-letting costs and rent until a new tenancy begins, capped at the total remaining rent.
Non-AST Agreements
Tenancy Agreement Preparation
£300 (inc. VAT), covering referencing (up to 2 tenants plus guarantors), ID and Right-to-Rent checks, affordability assessment, contract negotiation, and signing.

Letting & Management Fees
- Let & Rent Collection Service – 13.2% inc. VAT (11% + VAT)
- Let & Property Management Service – 16.8% inc. VAT (14% + VAT)
- Renewal Commission – Any extension of the tenancy is charged at the same rate (13.2% or 16.8% inc. VAT), whether or not negotiated by Harris Le Beau.
- Minimum Fee – £1,200 inc. VAT for all services.
- Withdrawal from an Agreed Offer – £360 inc. VAT.
- Sales Commission if the Tenant Purchases the Property – 2.4% inc. VAT (2% + VAT) of the final sale price.
Third-Party Liability Disclaimer
Harris Le Beau does not accept liability for work conducted by third-party contractors arranged on behalf of clients. We also do not accept liability for associated costs. Services such as Gas Safety Certificates, Electrical Installation Condition Reports (EICRs), and Inventories may vary in cost depending on the property. If you require a specific quote, please contact us before signing our Terms of Business.
Additional Landlord Charges
- Consultancy Fees (£60 inc. VAT per service) for:
- Additional property visits (if under management).
- Waiting time at the property.
- Extra key cutting.
- Arranging cleaning before tenancy start (if not managing).
- Arranging safety checks.
- Installing smoke alarms or carbon monoxide detectors.
- Obtaining lender or superior landlord consent.
- Inventory Preparation – Estimates available upon request.
- Gas Safety/EICR Certificates – Estimates available upon request.
- Harris Le Beau Standard Tenancy Agreement – £300 inc. VAT.
- Tenant Reference (per reference) – £50 inc. VAT.
- Renewal Agreement Preparation – £100 inc. VAT.
- Void Period Property Visits – £60 inc. VAT per visit.
- Tax Retention for Non-Resident Landlords (per quarter) – £60 inc. VAT.
- TDS (Deposit Scheme) Registration – £60 inc. VAT.
- Court/TDS Documentation Preparation – £120 inc. VAT per hour.
- Court or Tribunal Attendance – £120 inc. VAT per hour.
- Assignment/Change of Tenancy Terms – £300 inc. VAT.
